Position Summary

The Associate Registrar supports the University Registrar to further the academic goals and mission of the institution by providing strategic operational oversight in academic records management, student data integrity, and academic technology systems. This role oversees annual catalog and cun-iculum processes, transfer credit evaluation, institutional reporting details, and all aspects of the degree certification process. An important part of the position is supporting the ministry and mission of the University and advancing the academic excellence and spiritual vitality of our University and students. Each employee plays an important role in the development of the Christian faith in our students.

Primary Responsibilities

  • Assists the University Registrar in overseeing daily operations of the Registrar’s Office .
  • Ensures the operational effectiveness of the Registrar’s Office by managing Information Technology needs relating to the Student Information System (Anthology Student) and other key academic systems (Slate, Student Portal, etc.); works closely with the Academic Records System Coordinator to test and troubleshoot technology systems.
  • Leads the annual catalog production process, including coordination of curriculum updates, utilizing Anthology Student (SIS), Curriculog, Acalog, and the University website; provides expert counsel to departmental faculty considering curricular changes.
  • Manages the degree certification process, including the graduation application process, notification of remaining requirements, the tracking of student progress toward degree completion, graduation checks, and posting of degrees. Student Information System (Anthology Student), ensuring compliance with FERPA and applicable federal, state, and accreditation regulations related to academic records.
  • Oversees transfer equivalency and credit by examination decisions in consultation with faculty departments and the University Registrar; collaborates with the Transfer Analyst in reviewing undergraduate transcripts for transfer credit evaluation.
  • Determines eligibility, produces reports and oversees processing a variety of student honors and student status updates, including graduation honors, Dean’s List, and academic probation/suspension updates.
  • Develops and maintains standard and requested reports, extracting data from the Student Information System and other resources; produces term and annual statistics reports.
  • Helps compile and submit required enrollment and degree reports to various federal, state, and other third-party organizations, including accreditation and licensure bodies.
  • Collaborates with the University Registrar on academic partnership program details; serves as the primary contact for students in partnership programs or relating to study abroad.
  • Together with the University Registrar, maintains accurate student records using the University
  • Manages essential beginning- and end-of-term academic processes including posting of attendance, final grade entry, incomplete review and tracking, and registration window configuration.
  • Oversees reports, lists, line-up, and seating details related to Baccalaureate and Commencement.
  • Identifies opportunities for process improvement and leads initiatives to enhance efficiency, accuracy, and service quality within the Registrar’s Office.
  • Leads office staff in providing outstanding service to faculty, students, and other internal and external constituents.
  • Must be available for evening and weekend registration, as requested, and for Baccalaureate and Commencement activities.
  • Maintains documented detailed instructions for Anthology Student, Slate, Curriculog, Acalog, TES, reporting processes and regular position tasks.
  • Regular and punctual attendance at work.
  • Other support duties/special projects, as needed to contribute to the success of the department.

Qualifications

  • Bachelor’s degree from an accredited college is required.
  • Experience in higher education administration, preferably in a Registrar’s Office.
  • Experience with academic records, degree audit, or curriculum management systems preferred.
  • Strong analytical and problem-solving skills.
  • Excellent organizational and project management abilities.
  • Strong customer service orientation.
  • Proficient in Microsoft Office and proven ability to master new technologies.
  • Ability to uphold FERPA and keep information confidential required.
