SOE Coordinator for Undergraduate Programs

Duties and Responsibilities:

Assessment/Accreditation System:

  • Maintain semester timelines for undergraduate Quality Performance Assessment System
  • Utilize a variety of databases, including Student Learning & Licensure, Filemaker Pro, SOE-created documents, Slate, Anthology, and EPSB systems to create and maintain a tracking system for pre-education and education candidates
  • Maintain current knowledge of Kentucky EPSB program regulation requirements for entry into state certification systems
  • Determine candidate preparedness for state entry and complete enrollment in state data systems, remove candidates no longer eligible for enrollment
  • Prepare documents for candidate student teaching and cooperating teacher assignments and timelines/schedules including working with the Director of Clinical Experiences on Co-Teacher training
  • Maintain accurate EPSB records for cooperating teacher assignments
  • Maintain and collaborate with certification specialist to develop a variety of annual unit, state and federal reports (e.g., EPSB data, candidate admissions data, )
  • Update Discovery courses for undergraduate and graduate programs to reflect current assessments, resources, and other pertinent information
  • Prepare data tables for submission to the Office of Institutional Research and Effectiveness

Gates:

  • Maintain correspondence with P-12 school partners and organize partner participation in Gate interviews and TEC meetings, along with collection of any needed tax forms
  • Organize ‘day of’ events including room reservations, determination of team assignments, communication with evaluators on responsibilities, student worker responsibilities, room readiness, digital and printed evaluation forms, meals, and other duties
  • Maintain data and prepare records of Gate interviews and TEC meetings
  • Create reports for each of the Gate processes and collaborate with faculty on candidate deficiencies
  • Revise Gate organizational systems, as needed, to ensure efficient processes

Receptionist:

  • Serve as receptionist for the SOE office and assist with unit events/meetings
  • Maintain Office Manual
  • Make room reservations for Reasoner Hall
  • Maintain email/mailing lists

Dean/Faculty Assistance:

  • Assist Dean, Department Chairs and faculty with communication and correspondence
  • Take minutes at departmental meetings, retreats, and TEC meetings
  • Textbook order for Education courses (TUG, APS, and Grad)
  • Assist faculty in the analysis and dissemination of candidate specific data
  • Prepare advising folders in advance of enrollment each semester

Budget:

  • Prepare check requests for department expenditures
  • Track budget expenditures for the department
  • Reconcile VISA statements for department credit cards
  • Accept other duties as assigned

Supervision of Others:

  • May supervise student workers and/or graduate

Qualifications:

  • Bachelor’s degree preferred.
  • Three to five years clerical experience is
  • Extensive computer skills necessary, proficiency with Microsoft Office Suite products.
  • Demonstrates a willingness to learn and maintain
  • Excellent communication and customer service skills
  • Demonstrates the ability to handle complex
  • Demonstrates ability to initiate new system processes.
  • A committed and dynamic Christian faith along with the ability to support the University’s theological position, lifestyle standards and mission.
