Job Purpose:
The Transfer Credit Analyst & Graduate Program Specialist utilizes independent professional judgment to review, evaluate, determine, and communicate undergraduate transfer and test-by-exam course equivalencies based on a broad knowledge of university academic policies and curriculum. The Transfer Analyst builds and manages a database of equivalent coursework and supports registration for transfer students while collaborating with departmental faculty and administration to address institutional procedures, policies, and challenges regarding the applicability of academic credit. The Graduate Program Specialist aspect of this position provides academic record and enrollment support services for graduate students, while assisting the graduate faculty departments with needs relating to course scheduling and curriculum. An important part of the position is supporting the ministry and mission of the University and advancing the academic excellence and spiritual vitality of our University and students. Essential Functions:
• Under general supervision, the Transfer Credit Analyst performs complex and technical duties involved in the evaluation of student records and transcripts for completion of degree requirements using the Anthology Student software and the Degree Progress Audit.
• Determines course transferability and equivalencies of coursework completed at other institutions while following university academic policies, regional accreditation and state licensure guidelines, and in consultation with the Registrar, program directors, department chairs, and deans.
• Evaluates undergraduate dual credit and transfer student files, reviews, determines, and communicates academic credit transferability, prepares enrollment records, and enters transfer credit into Anthology Student (Student Information System).
• Builds and manages the TES course equivalency database (Transfer Evaluation System –College Source).
• Reviews and determines Pre-Approved College Transfer (PACT), while also tracking and monitoring completion.
• Serves as the primary Registrar’s Office contact for graduate students and graduate program directors/coordinators.
• Receives graduate student files, maintains accurate enrollment records, and works with the graduate department faculty to determine and process academic credit transferability and substitutions, and assists graduate faculty with advising questions.
• Oversees graduate student Degree Progress Audit record updates (Anthology Student and Portal), timelines, and communications, while working with graduate department faculty as appropriate throughout the graduate student lifecycle, including the registration process, drop/add needs, and graduation processes.
• Organizes degree application process for eligible students, analyzes student records for graduation eligibility, and posts degree conferrals to the academic record.
• Plans, organizes, and prepares individualized student materials for office participation in freshman orientation events (Eagle Days).
• Evaluates student performance, identifies complex situations, and sends communications related to academic status change or policy explanation/violation.
• Builds the academic year graduate course schedules in collaboration with the graduate faculty departments.
• Leads in commencement ordering and student communications and determines the related logistical commencement details in collaboration with the Registrar.
• Provide outstanding service to students and other internal and external constituents, with professional priority given to transfer and graduate students.
• Available for occasional evening and weekend registration, as requested, and for Baccalaureate and Commencement activities.
• Other support duties/special projects, as needed to contribute to the success of the department.
Physical Requirements:
While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.
Position Type/Expected Hours of Work:
This is a full-time on-site position, and hours of work and days are Monday through Friday, 8:00 a.m. to 5 p.m.
Travel:
No travel is expected for this position.
Qualifications:
• Bachelor’s degree from an accredited college required.
• Proficient computer and technical skills with a working knowledge of Anthology Student (student information system), Degree Progress Audit software, Transfer Equivalency System (TES, CollegeSource), National Student Clearinghouse, and Microsoft Office applications.
• Excellent interpersonal, written, and oral communication skills.
• Effective time management skills and strong organizational skills.
• A proven attention to detail.
• Ability to interact effectively as a member of a team and to work collaboratively with faculty, administrators, and other departments.
• Independent judgment and a proactive, solutions-oriented approach to job responsibilities.
• Strong customer service approach when working with both internal and external constituents, with the ability to kindly explain and uphold policy.
• Ability to uphold FERPA and confidentiality.
