Job Title: Staff Assistant II for School of Christian Studies and Ancient & Modern Languages Department

Reports To: Dean of School of Christian Studies

This is a 9 months/40 weeks position

Job Purpose:

The Staff Assistant serves as the primary organizational and planning person for all affairs of the School of Christian Studies and the Ancient & Modern Languages Department. An important part of the position is supporting the ministry and mission of the University and advancing the academic excellence and spiritual vitality of our University and students. Each employee plays an important role in the development of the Christian faith in our students.

Essential Functions:

  • Manages office area for one School and one Department.
  • Assists in the implementation of all office procedures and policies; represents School and Department in communication; operates using word processing; processes mail.
  • Tracks profession development accounts; proctors make-up exams; collects and files syllabi/minutes; orders all textbooks via eCampus; maintains office directory/office hours.
  • Orders/invoices supplies; implements billing statements; maintains/reconciles the copy machine; shredding confidential documents.
  • Handles faculty correspondence and offers service to faculty.
  • Facilitates Christian Ministries portfolio review/interview process and Language Placement Exams.
  • Collects receipts for monthly Visa statement and recording.
  • Reserves Reasoner Basement conference room and Hughes class rooms.
  • Report faculties needs to Physical Plant for repairs; order/pick up keys; maintain office cleanliness.
  • Other duties as assigned.

Physical Requirements:

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.

This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.

Position Type/Expected Hours of Work:

This is a full-time on-site position, and hours of work and days are Monday through Friday, 8:00 a.m. to 5 p.m.

Travel:

No travel is expected for this position.

Qualifications:

  • High school degree or equivalent required, Bachelor’s degree highly preferred
  • 1-2 years administrative or office experience.
  • Comfortable working with highly sensitive information and demonstrates tact and discernment dealing with confidential information and records.
  • Warm, hospitable and inviting personality.
  • Strong organizational skills.
  • Strategic and able to think multiple steps ahead.
  • Able to multi-task and keep several projects moving forward simultaneously.
  • Proficient in Microsoft Word, Excel, PowerPoint, and various application software.
  • A committed and dynamic Christian faith is vital along with the ability to support the University’s theological position, lifestyle standards and mission.
