Embrace UMC Church Administrator Job Description Ministry Summary: We are called together by God to live Christ-dwelling lives through the power of the Holy Spirit by embracing God and embracing others who have been hurt, rejected, broken and burned out on just looking religious. We accept everybody where they are and desire to see them grow in wholeness and in holiness. It is our mission to reach out to people who don’t have a relationship with Christ or a Christian Faith Community and to plant other churches. Position Summary: To manage the overall administration of the organization, including oversight of financial operations, facilities, and volunteers. To grasp the vision of the church and be able to help create a structure that supports that vision in all facets of daily church operations. This person will be the primary administrator of the church and will report to the Lead Pastor. Position hours are 8am-5pm Monday through Thursday, and 8am-1pm Sunday. This is a salaried position and additional hours will be required on occasion for special ministry events. The hire will be based in the office during the week. On Sunday, he or she will help coordinate one of the services by directing volunteers and helping with service flow. The ideal candidate will have several years of experience in an administrative or program management capacity, and be competent in communication, event planning, accounting, and program management. Take initiative for discovering ways to minister more effectively and lighten the load of administrative duties on the other staff ministers of the church. This will require an understanding of and sensitivity to the functions and responsibilities of other staff and how they might best serve Embrace UMC. Essential Job Functions: Program Management and Worship Planning 1. Support the Lead Pastor in the accomplishment of the church’s mission through ministry effectiveness, evaluation, discernment, decision making, and planning. 2. Assist the Lead Pastor in planning and organizing Sunday morning worship. This includes volunteer coordination, printing and disseminating print communication (bulletins), and creating worship slides through computer presentation software. 3. Work with the Lead Pastor to manage and coordinate volunteers for ongoing ministries and special events. Office Coordination 1. Oversee the operation of the church office. Answer the door, answer a multi-line phone system and take complete and accurate messages. Greet and offer assistance to members and visitors. 2. Handle a variety of complex tasks, including a high volume of work in a very busy and productive environment and an array of special projects and events 3. Manage a busy calendar for facility use, bus use, and the Lead Pastor with respect to appointments and meetings 4. Operate office machines/maintain inventory of office supplies, ensure office equipment is clean and well maintained, and purchase supplies as needed. 5. Maintain accurate church membership, attendance, and visitation records. Facilities Management 1. Ensure policies and procedures are followed concerning the use of all church property and facilities. 2. Identify and prioritize necessary maintenance projects and assure their completion along with the Trustee Committee and Lead Pastor. 3. Complete a periodic safety review of all facilities, and monitor the implementation of church security measures. 4. Maintain an inventory of property and equipment. 5. Manage church bus gas and upkeep. 6. Negotiate contracts for the church as required, and obtain competitive bids for projects that have been approved. Accounting/Finances 1. Work with church’s accounting firm to ensure all accounting functions are complete and accurate. The Church Administrator will be primarily responsible for handling receipts, invoices, donations, registrations, making bank deposits, etc. 2. Work with the church’s accounting firm to provide financial and other necessary reports as requested. 3. Maintain detailed and accurate record of all donations made to the church. 4. Print quarterly contribution statements 5. Maintain concise filing systems Church Communication 1. Prepare for weekly meetings with the Lead Pastor, leadership team meetings, and ad hoc committees. 2. Create, maintain and simplify communication, programming systems and structures to help the church thrive. 3. Work with the Lead Pastor to design and disseminate weekly email Church newsletter and quarterly hard copy newsletter. 4. Assist the Lead Pastor in managing social media accounts through regular posts, photos, and events. Make basic website updates as requested by the Lead Pastor.
Requirements/Qualifications: 
1. Excellent organizational skills required. Must be able to multi-task. Must have strong computer skills and extensive experience in using programs such as Microsoft Excel, Word, Powerpoint, and Google Calendar. Experience in QuickBooks is preferred, though not required. Must be able to develop and implement appropriate systems quickly and within budget constraints. Must be able to think clearly under pressure. 2. Excellent interpersonal communication skills required. Must be able to facilitate operational solutions to ministry challenges in order to effectively facilitate effective ministry. Must possess a high level of professionalism. Ability to work independently with little supervision. 3. Basic knowledge of accounting principles and practices. 4. Growing commitment to Christ, including a strong biblical foundation. Theological compatibility with Embrace UMC. 5. Able and willing to become a member of Embrace.
