Looking for responsible person with Administrative Management, Procurement and Marketing experience and/or knowledge whose primarily responsible for the day to day operations of the Lexington office and interaction between company offices (Lexington and Indiana). Detailed responsibilities and expectations of this position are detailed below: Administrative/Management • Responsible for shipping packages • Assist in managing/maintaining daily office activities to help meet company deadlines • Maintaining/ordering office supplies • Track/Maintaining status of equipment Data Entry responsibilities: • Time record keeping • Recording project statistics/reports • Logging incoming and outgoing documents (drawings, submittals, transmittals) Contract Management Responsibilities: • Processing Insurance and liability certificates • Processing Federal forms (SF-330, SF-1413, W-9 Davis-Bacon Exemption Letters) • Managing the archiving of documents Procurement/Marketing Assist in the development of proposals (RFP/RFQs) and general procurement activities including: • Creating and maintaining procurement templates • Maintain associates’ continuing education and credential documentation • Review and analyze procurement websites for business opportunities • Acquire procurement documents electronically from a variety of sources and prepare for use by procurement manager • Maintain project characteristics cost tracking/maintenance • Maintaining and developing corporate marketing documents, (i.e. brochures, project descriptions, company resumes, company contacts, website content, and conferences) • Scheduling/Coordinating company activities (Dinners, Conferences, Seasonal events) Project Assistance Related Activities • Work closely with company associates in meeting project deadlines • Proofing and reviewing content/format of deliverables generated by associates • File and project document maintenance • Document production (assembling and producing paper/electronic reports)
• Must have proficient computer skills, effective typing skills and familiarity with Microsoft Office programs (i.e. Excel, Word, Powerpoint, etc.) Experience with MAC OS X is preferred. • Problem solving, time management, and decision making skills. • Completion of an associates degree or higher. • Excellent interpersonal and communication skills, both verbal and written. • Demonstrated management experience. • Demonstrated ability to work effectively in a team environment. • Punctual, reliable, detail oriented and organized. • Able to multi-task and meet deadlines in a fast-paced environment. • Procurement and Marketing experience preferred. • Notary Public preferred, but not required. • Architectural/engineering experience in the construction industry is a plus.
