CONTRACT POSITION SUMMARY: The Patient Event Traveler is a contractual engagement created to provide temporary, flexible onsite support for pharmaceutical client programs during high volume periods. The role will represent Symbiotix by assisting on location with tasks required in the successful execution of medical communication events related to patient education and training. ESSENTIAL DUTIES AND RESPONSIBILITIES: • Effectively serve as onsite representative for Symbiotix by traveling to assigned program locations and coordinating all activities from pre-conference meeting through post-event phase. • Arrive one day in advance to event locations and conduct pre-conference meetings with venue, catering, audio/visual and/or client representatives; assess status of space, shipped materials and all ordered products and services, promptly responding to logistical issues. • Access meeting space prior to event start time to confirm and oversee room arrangement, catering delivery, materials arrangement and audio/visual setup. • Coordinate resources with third party contractors such as event support teams and child care services and delegate tasks as needed. • Engage with client representatives and keep them informed of progress; complete event checklist and continue to supervise activities. • Escort speakers/facilitators and assist with presentation launch or special requests. • Direct attendee traffic; greet and interact with guests to promote a pleasant, friendly environment. • Evaluate outcome of event and orchestrate clean-up and packing of materials for transport back to headquarters. • Maintain a high level knowledge of client products and disease states as well as routine program content, materials and agendas. • Arrange travel through partner agencies, communicating itineraries to Symbiotix stakeholders as requested. • Track and code expense receipts and submit reports by indicated deadlines in order to receive timely reimbursement of out of pocket expenditures.
CONTRACTUAL ENGAGEMENT REQUIREMENTS: • Satisfactory completion of a background check to include criminal history, employment references and driving record. • Submission of a W-9 and Master Contract Agreement. • Timely delivery of invoices and expense reports. • Ability to provide limited payment to cover travel and incidental expenses to be reimbursed by Symbiotix. • Adherence to Symbiotix’s standards and expectations for service and conduct. WORK ENVIRONMENT & PHYSICAL ACTIVITY Ability to travel via air and ground transportation 100% of time. General hotel atmosphere during programs/meetings. Physical activities may include sitting for extended periods of time, walking or standing up to 50% of the time, and occasional lifting of up to 25 pounds and periodic computer keyboarding. Speaking is regularly performed in this position.
